Text annotation on proofs

We have released an important new feature. Text annotation lets proof reviewers highlight and select text on proofs. This is an improvement over the old method of highlighting text using drawing tools.

We have also given new some nifty shortcuts to indicate that you want to delete, replace or insert text.

When a reviewer is browsing a proof the cursor now automatically changes into a text highlighting tool whenever it detects that the mouse is over a text area on the proof.

The reviewer can click to place the cursor at a specific point in the text, or click-and-drag to highlight an area of text.

If the reviewer places the cursor in a single location in the text, they have the option to use the “insert” text annotation shortcut. This places the word “[INSERT]” in the comment box to indicate that they want to insert additional text at that point. In addition, an “insert” markup appears at that position in the text.

If the reviewer selects an area of text, they have the option to use the “delete”, “insert after” or “replace” text annotation shortcuts. These place the words “[DELETE]”, “[INSERT]” or “[REPLACE WITH]” respectively in the comment box. In addition, there is a strike-through markup through the text that was highlighted and, in the case of “replace” an insert markup is placed at the end of the text that was selected.

There is an additional markup tool in the header so that reviewers can switch between text annotation and drawing tools.

This functionality is now available on all proofs created from PDF, Adobe Illustrator and Microsoft Office files from today. It is not available on proofs created before the release.

We are now moving on to providing full text search capability on proofs.

New features for customizing decisions

We have released three useful improvements to the way that you can manage decisions on your proofs. These are:

- Customisable decisions

- Decision reasons

- Reporting on decision reasons

These are available on enterprise plans.

Customisable decisions

You can now customise the decision labels in ProofHQ and hide any decision options that you don’t want to display. For example, you might want to change “Changes required” to “Rejected”, or hide the “Approved with changes”.

You can change the text for any of the standard decision labels.

Changing the decision labels will not change the way that the proof status is calculated, but it will change the text that is displayed in the proof status field.

As well as changing the decision labels, you can hide any decisions that you don’t want to make available to decision-makers.

New feature: Introducing the Primary decision maker

We have just introduced a new feature called the “Primary decision maker”. You can now set a Primary decision maker on a proof and, irrespective of the decisions made by the other decision-makers, the decision of the Primary decision maker will determine the overall Status of the proof.

If the Primary decision maker is not set, the Status is set by the “worst case” decision. For example, if there are five decision-makers and four make a decision of “Approved”, but the fifth makes a decision of “Changes required”, then the overall Status will be “Changes required”.

The Primary decision maker is set in the Tags & Settings sections of the new proof page and the proof details page. The Primary decision maker can be chosen from anyone who the proof has been shared with and that has a decision-making role on the proof.

You can see who the Primary decision maker is on the Proof Details page.

Auto-suggest for faster searching

Enhanced search We have just added auto-suggest to search in the dashboard. When you type in the search field, suggestions will now begin to appear as you type, saving you time.

Once you have searched for something, we have made it even easier for you filter through those results further by adding inline filtering on search results.

This means you can continue to add more search terms to the existing search rather than begin a new search. These can include tags as well as search phrases.
