Audit trail

The Activity log provides you with a complete audit trail of all activity in your account. Activity logs are also available at proof and folder level.

Backups

You can request weekly backups of all your data in the form of a zip file. The backup includes all of your files, plus XML data about each proof.

Advanced password management

Advanced password management gives you the ability to require users to manage their passwords within specific criteria e.g. mandatory upper and lower case characters, inclusion of one number and so on.

Single sign-on

Single sign-on (SSO) allows you to use one username and password for ProofHQ and other applications. SSO functionality gives you the full control over the authorization and authentication of your users. 

Security Assertion Markup Language (SAML) is the dominant standard for federated identity deployments. ProofHQ supports the latest SAML 2.0 standard.

Electronic signatures setting

This feature allows reviewers to provide electronic signatures when making decisions on proofs. Electronic signatures ensure that companies are adhering to laws by documenting that a piece of marketing content has correctly passed through an approved sign-off process. This is particularly important for customers who must meet compliance standards in highly regulated industries such as healthcare and financial services.  Electronic signatures can be enabled on the account level or on an individual proof level.

Custom fields

Custom fields give you the ability to capture customized data about your proofs. This is useful for workflow management and reporting. It can also be used to route proofs in your workflow as custom fields can drive routing from one part of your process to the next.

Custom fields are completed when proofs are created and can be edited on the proof details page. They can be displayed as columns in custom views and in reports.

There are many types of custom fields including free text, drop-downs, radio buttons, dates, etc.

Decision and reasons customization  

Enterprise customers can easily customize decisions on proofs. Decisions can be renamed, hidden and re-ordered. Decision reasons allow you to obtain additional feedback on one or more decisions. The list of reasons is fully customizable. Reasons can be either single-selected or multi-selected and presented as check-boxes.

You have complete control over the text for each reason and the order in which they are displayed. You can also control which decision buttons will display the decision reasons. In the example below, the decision reasons have been called “Reason for Rejection.” You can use whatever name you wish for the list of reasons.

Combine files

This feature is perfect for any piece of collateral requiring multiple files or web pages for review. Rather than creating individual proofs, enterprise customers can easily combine files and URLs into a single, multi-page proof with each file or URL appearing as a separate page(s). 

If you have created a combined proof from multiple URLs, when you use the New Version function, the URL's from the previous version will be automatically copied across and new screenshots of the amended web pages taken automatically. The number of files you can upload is only limited by the amount of storage associated with your specific enterprise plan.

Convert file into proof

You can easily convert any file sent to your ProofHQ account into a proof. This means when any other ProofHQ user (eg. freelance designers or project managers) sends you a file from their own separate ProofHQ account you can easily convert it into proof. Simply click the Convert to proof button and follow the steps to create a new proof. To save you time, anybody that the file was originally shared with will automatically appear on the share list of the New proof page.

Actions on comments

Actions on comments let you assign an action to each comment thread. You can define your own list of actions. You can then filter comments by actions.

Actions are typically used by proof owners to decide what will be done with each comment, e.g., "Make change", "No change", "Request clarification".

Web dropzone

The Dropzone lets you receive files for proofing from people outside your organization without them having to have a login to ProofHQ.

Your account has a customized Dropzone URL e.g. yourbrand.proofhq.com/dropzone. From that page, guests can upload files into your ProofHQ account. You can set up a proof submission form for them to complete and this can include custom fields.  

Once the proof is submitted it is available in a Dropzone Folder in your ProofHQ account. From there you can route it through your workflow, including adding other reviewers. The Dropzone can be used to submit new versions of a proof.

Email dropzone

There is also an Email Dropzone. Your account has a customized email address e.g. dropzone@yourbrand.proofhq.com. Guests can send emails with attachments to that address and the attachments will be placed in the Dropzone as new proofs.

White label branding

Advanced white label branding options are available to Enterprise clients. These include fully customized login and logout pages, and full domain customization, e.g., http://proofing.yourbrand.com.

There is a small addition set-up charge to cover the cost of our technical team working with you to arrange SSL certificates and implement your customized login page design.

Other white label options

White label options take customization to the next level. You can have your own color scheme, help pages, header, footer and terminology throughout the application. These options are available to Enterprise clients.

Advanced branding

In addition to adding your own logo and color scheme, ProofHQ allows Enterprise customers to add their own custom favicon, page title and text throughout the application. You can also add your own help links to ProofHQ and the Proof Viewer and custom links in the header.

Priority support

Enterprise clients receive priority support. There is a dedicated email address for support requests, and service level agreements are available.

Enterprise clients have a team of dedicated account managers at the ready, to handle account and technical support.
