I use email today, why do I need ProofHQ?

Most people use email to manage approvals and proofing. If this works for you, then great. However, most people find that email just isn't up to serious proofing, review and approvals.

Firstly, sending large attachments by email just doesn't work. Spam filters and email attachment limits prevent large files being sent.

Secondly, email isn't efficient at collating comments. You get multiple attachments emailed back to you, some people comment in the body of the email and others in the attachment.

Thirdly, email doesn't track where your progress with reviewers. You have no way of seeing at a glance who has replied, when they replied and what they said.

Fourth, email just isn't collaborative. Sure, reviewers can CC all with their reply, but that doesn't let people easily see other reviewers' comments.

There are lots of other reasons why email isn't up to the job, but these are the key ones.

What is ProofHQ?

ProofHQ is a smarter, easier way to manage review and sign-off of designs, artwork and documents. It is an online collaboration, proofing and approval tool built specifically for brands, agencies, designers, print and production.

What kind of files does ProofHQ import?

ProofHQ can used to proof PDFs, Photoshop, Word, Powerpoint, JPG, TIF, GIF, BMP and PNG files. Use PDFs if you want to send multi-page proofs. ProofHQ can be used to send any file type, including Zip files.

How do I annotate changes?

You can add comments or sticky notes to a proof by clicking on the New Comment button on the proof page. You then select the area of the proof that you want to comment on and type your comments into a comments box that pops up. You can also mark-up the proof using the mark-up tools.

How do I approve a proof?

You can make a "Decision" on a proof by clicking on the Decision button on the proof page. You can choose from the following options: Approved, Approved with Changes, Not Approved and Not Relevant.

Can I annotate changes at the same time as someone else?

ProofHQ is designed so that any number of people can review a proof at the same time. As reviewers add comments you can see those comments appearing in real time on your screen. You can also reply to comments and start a conversation with other reviewers.

Can I add new versions of a proof?

Yes. Adding new versions is easy. Just click on the New Version option in the Versions menu and you can upload a new version of the proof.

When the new version is uploaded all of the reviewers will receive an email telling them that they have a new version to review. Your reviewers can easily switch between versions to see comments made on older versions. They can also compare versions side-by-side with our synchronised compare tool.

What can my reviewers do with my proofs?

You reviewers can add and share comments, can view older versions of your proof and set a status such as Not Approved or Approved.

ProofHQ collates all comments and statuses to give you consolidated feedback on your proof.

What happens to my proofs at the end of a job?

At the end of the review all versions or the document and notes on each are saved in case they need to be referred to again. You can delete an old proof in which case all files and user generated data relating to that proof will be permanently erased.

Does ProofHQ work on Mac and PC?

Yes. ProofHQ works on the Mac with Safari and Firefox and on the PC with Internet Explorer and Firefox.

Who will see my content in ProofHQ?

Only the people you choose! Your files and proofs are only seen by the people you send them to and anyone in your organization with the right permissions.
