Create proofs from print, web and audio-visual files

Your design projects include print, audio-visual, interactive and web elements. You find it time-consuming and slow to manage feedback across so many different files types.
We help you create and manage high-quality online proofs from over 50 file types (see complete list). These include PDF, Adobe CS, PDF, Word, Powerpoint, GIF, PNG, JPEG and many more. But it's not just static files. You can create proofs from audio-visual files such as MPG, AVI and MOV, and both animated and interactive SWF files. You can also capture web pages for review.
Your reviewers aren't all rocket scientists, so you want your your online proofing system to be straightforward and suitable for all levels of technical expertise.

We designed our proof viewer so that new or non-technical users just "get it". You have a simple set of tools that make commenting and feedback quick and easy. For more expert users the advanced tools are just a click away.

One of your biggest headaches is letting your reviewers know what other reviewers are saying. When communication breaks down you have to manage conflicting feedback which takes time and often results in extra revisions. To avoid this you end up sending multiple rounds of emails with everyone being CC'd until inboxes reach breaking point.

With ProofHQ your review team can see each others' comments on the proof in real time, and add their own replies to create threaded discussions. This not only saves your valuable time, but also reduces approval time and results in fewer revision cycles. It also minimizes email overload and keeps the IT folks happy by getting rid of large email attachments. ...more

Ideally you want to have your review team reviewing production-ready files, rather than low-resolution proofs. The problem is that these files are too big to email and most people don't have FTP or know how to use it when they do. This issue is compounded when you are working on multi-page files such as catalogs. Even if you do ship the hi-res file, it can take an age for the reviewers to download the file to their PC or Mac.
With ProofHQ you can create proofs from files of up to 3GB. These proofs will stream into the reviewers' browsers in just a few seconds. They don't have to wait for the full file to download before they can start reviewing your proof. ...more
Keep track of feedback and decisions

Keeping track of which reviews have responded and which haven't is a big challenge. You may rely on memory, your inbox or spreadsheets, but it is easy for these to become overloaded or out of date. If you are working to deadlines you need to make sure that you are totally on top of the who, what and when of the reviewers' responses.
ProofHQ lets you track your review team's activity quickly and simply. The unique progress bar lets you view the current status of each proof at-a-glance. You can quickly see which proofs are on track, and which you need to take action on. Drill down to see progress bars for each reviewer on the proof. Create custom views to drive the reports you need out of ProofHQ. ...more
Stay organized with folders and tags
Maybe you are managing a high volume of proofs for multiple clients or projects. Perhaps you are a right-brain creative needing some left-brain organizational support.
Whatever your situation, keeping your files and proofs organized is important for both you and your reviewers.
ProofHQ provides you with your own folder structure, including sub-folders, so that you can organize your proofs and files by client, product or project, or in any way that suits your workflow. In addition, you can create tags for each proof to make searching for proofs fast and easy. ...more
Flexible sharing for proofs, files and folders

With ProofHQ you can quickly and easily share a single proof with a single person or a group of people. You can also upload and share files without proofing enabled. This is a great way to share large files or digital assets with your team.
However, sometimes sharing a single proof or file is not enough. You need to share multiple proofs, files or even whole folders.
ProofHQ includes powerful folder-sharing that lets you share a whole folder with a person, group or whole company. Any proofs or files added to that folder will be automatically shared with those people. They can access the folder from their desktop and download files or open proofs that are contained in the folder.
Manage contacts and groups
Add your contacts to ProofHQ and organize them into groups to easily share proofs with multiple people.
You can bulk-import contacts using Excel and also select contacts from partner applications such as Basecamp. ...more
Invite colleagues, clients and partners to use ProofHQ with you
ProofHQ gives you a number of ways to get your stakeholders working with you.
The simplest way is to share proofs, files and folders with them as Guests. They simply receive a link by email and can access the items that you have shared with them. They don't need a login or ProofHQ account.
You can add people as Users to your ProofHQ account. Users have their own login and you can control their permissions by using profiles. We recommend that you only add people in your organization to your ProofHQ account to ensure maximum security. We have provided two simple ways to give people outside your organization their own login (see below).
To give people outside your organization their own access to ProofHQ, you can create either a Personal Account or a Satellite Account. When someone logs in to a Personal or Satellite Account they can see all the proofs, files and folders that you have shared with them. They can also create their own proofs, files and folders if you give them permission to. ...more
